or adding email addresses using
Microsoft Outlook
- Many
people use Outlook for their email program. There are different
versions (Express, 97, 98, 2000 and so on) which are all slightly
different. The instructions on this page are of a general nature
and you may find your menu labels a bit different.
- If
you use some other email program you will need to ask someone
who knows that program about changing or adding email addresses.
- When
you send mail, each message carries your email address so that
people can reply to you.
- If
you have acquired your own domain name you may prefer people to
see (and reply to) that address when you send mail. It looks better
for your business.
- You
can either change your current settings
or add a new entry and choose to send
with that identity when mailing people.
- The
instructions here do not stop you receiving mail addressed to
your existing email address. They only affect the appearance of
your outgoing messages.
Changing your email address
- In
the Outlook program (not in a message) click on the menu
button for Tools
- Then
click on Accounts
- Select
the email account to be altered and click the Properties
button.
- On
the first page of settings (General) there's a box called
E-mail address. This box shows the address that appears
on the messages you send - what you've used up to now.
- Change
it to an address for your new domain name. For example, anyname@yourdomain.co.uk
- DON'T
CHANGE ANY OTHER SETTINGS
- Click
the OK buttons to close all the menu items.
Then
test it.
- Send
a message to yourself and see if it returns to you after you click
Send and Receive.
- You
may need to Send and Receive twice so there's time for
the message to make it's way around Internet.
- If
it doesn't come back after a few attempts (ten minutes or so)
double check what you changed and the address you sent it to (in
case you mistyped something).
If
it all goes horribly wrong change the email address in the settings
back to its original and enlist the help of someone more used to
Outlook.

Adding your new email address
The
following procedure explains how to add another account exactly
like the one you use already except for the email address displayed
on outgoing messages.
- In
the Outlook program (not in a message) click on the menu
button for Tools
- Then
click on Accounts
- Select
your existing working account and click Properties. Look
through every panel of the properties and note down all the settings
so you can use them when adding a new account. Cancel out of the
Properties back to the Accounts list.
- Click
the Add button and then click Mail and follow the
instructions.
- On
the first page of settings (Your Name) you will be asked
to fill in the name you want to appear on your outgoing emails.
When you have done this click Next.
- On
the next page (Internet E-mail Address) fill in the address
using your new domain name. For example, anyname@yourdomain.co.uk.
When you have done this click Next.
- On
the next page (E-mail servers) fill in the incoming and
outgoing mail servers of your existing email account. When you
have done this click Next.
- On
the next page (Internet Mail Logon) fill in the email account
name and password of your existing account. When you have done
this click Next.
- On
the next page (Friendly Name) fill in whatever name you
like for your email account name (a convenient name so you can
tell which account you are sending with). When you have done this
click Next.
- On
the next page (Choose Connection Type) fill in how you
connect to email using your existing email account. When you have
done this click Next.
- Congratulations.
Now just click Finish and you have added an account that
uses your new email address.
Then
test it (as above).
If
you want all your emails automatically to carry your new address,
go to Tools/Accounts again, highlight the new address and
click on Set as Default.
You
can still send emails using your other address(es). Instead
of clicking Send when you want to send a particular message,
click on File and choose Send Using. Then choose the
address you want that outgoing email to carry. In Outlook Express
you do it by selecting the From identity when composing the
message.
Then
test it (as above).
Again,
if it all goes horribly wrong change the email address in the settings
back to its original and enlist the help of someone more used to
Outlook.
Remember: Outlook
does have a Help button.
